BACKGROUND:

The Australia-Indonesia Partnership Towards an Inclusive Society (AIPTIS) is a $75m, 5-year investment (2020-25) that will contribute to the broader development goal of No one is left behind – more marginalised people participate in and benefit from Indonesia’s socio-cultural economic, and political development


AIPTIS continues Australia’s support to Indonesia’s prosperity, building on advancements in the areas of gender equality and women’s empowerment, social inclusion, and civil society strengthening. This includes experience and lessons working in community-driven development, civil society programs, women’s empowerment, and inclusive development programs – most recently through MAMPU and Peduli. It also builds on decades of work by Indonesian CSOs and social movements, including the women’s movement to advance GEDSI.


AIPTIS supports the shared policy priorities of GoI and GoA. It is aligned with Pillar One of the Indonesia- Australia Comprehensive Strategic Partnership, and the associated Plan of Action, which commits to cooperation to “address poverty and inequality, promote women’s leadership and empowerment on disability-inclusive development; the Stability Pillar of the Australia-Indonesia COVID-19 Development Response Plan; and the Government of Indonesia (GoI) Medium-Term Development Plan (RPJMN IV 2020- 2024). AIPTIS supports the RPJMN agenda of “enhancing the quality and competitiveness of human resources”, and specifically the RPJMN’s Gender Equality and Women Empowerment policy and its Social Inclusion policy direction. It also supports Indonesia’s commitment to the Sustainable Development Goals (SDGs), and the call to “Leave no one behind” in development, while responding to the impacts of the COVID-19 pandemic, including the disproportionate socioeconomic impacts on women and communities experiencing marginalisation as well as the potential threats posed to civil society spaces.


DUTY STATEMENT:

The objective of this role is to support the implementation of the AIPTIS partnership with our CSO partners. Solid and open relationships with CSO partners are vital to our work. As Partnership Support Officer (PSO), you will support the Partnership Coordinator in arranging the implementation of the AIPTIS hub’s planned activities, providing essential support to the CSO partner’s program, and coordinating with the Operations Team for logistics and funding needs.


The PSOs will ensure that office system and logistics support function efficiently, effectively, and dependable according to the procedures and guidelines laid out in the AIPTIS Operation Manual.


SPECIFIC DUTIES:

Under the overall direction of the Partnership Coordinator (with support from the Operations Team), the PSO will be responsible to:

  • Provide schedule and budget for hub activities regularly and coordinate with Team hubs in implementing arrangements. PSO’s closely watch the project schedule, monitoring deadlines for each project task. PSO’s check regularly that every deadline is still possible and report any potential delays to the Partnership Coordinator;

  • Support the Partnership Coordinators to ensure CSO’s key grant obligations are met. Identify any potential issues or risks that could affect the progression of the CSO’s partner program and communicate these items with the Partnership Coordinator, and work to identify possible solutions;

  • PSO’s are responsible for maintaining crucial CSO’s program documents which track program progress. PSO’s file all records in an appropriate database or CSO’s partner sharepoints, and ensure that all documents are accurate and have been accepted by the Partnership Coordinator;

  • Travel as required to ensure effective monitoring of activities and understand issues and conditions faced by Partners in the field;

  • Coordinate with other Partnership Support Officers in the implementation of collective action agendas;

  • In coordination with Operations team to provide arrangements in event/workshop hub/planning meetings/collaborative events, including scheduling meetings, communicating agendas, submitting TOR, workshop and budget request, required equipment and technical assistance, draft invitations, sending invitations, confirming attendance (follow up invitations), and update attendance list, ensure the event report are accurate and have been accepted by the Partnership Coordinator;

  • In coordination with Operation Team to provide support for stakeholders and team members in the respective hub for travel arrangements:

  • In coordination with Senior Executive Assistant, assist in preparing AIPTIS’s Partners activities in Indonesia and outside of Indonesia such as exposures visits, courses, exchanges, etc.

  • Ensure all project development and management stages are adequately documented and project files are maintained.

  • Other duties as requested by management.

JOB REQUIREMENTS:

  • Degree international/community development, project management, communications or another relevant field.

Skills & Abilities

  • At least 3 years working on large donor, (or other) funded programs in project management, CSO grants management or partnerships management role, and proven capacity to work in a matrix organization;

  • Demonstrated ability to collaborate and build strong networking relationships with a variety of organizations national and sub-national levels;

  • Ability to communicate effectively across team, multi-stakeholders, and CSO’s partners;

  • The ability to prepare and manage various online and hybrid meetings

  • An analytical thinker with excellent problem-solving skills

  • Ability to multi-task in a high volume and fast-paced work environment.

  • Thorough familiarity with word processing, spreadsheet, Microsoft 365, and project scheduling computer applications

  • Demonstrated experience in budget and financial management

  • Understanding of DFAT program (or donor) requirements

  • Understanding of and personal championship of GEDSI;

  • Written and verbal communication skills in English and Bahasa Indonesia are desirable.
