Context

• As an active UNHCR team member, efficient, timely, responsive, client-friendly and high-quality support rendered to UNHCR and its beneficiaries in the accomplishment of her/his functions, including:

• Reports and inputs as stated above are submitted regularly and on-time.

• Networks are established or expanded; engagement is secured.

• Other tasks assigned are completed in a timely and accurate way.

• Age, Gender and Diversity (AGD) perspective is systematically applied, integrated and documented in all activities throughout the assignment

• A final statement of achievements towards volunteerism for peace and development during the assignment, such as reporting on the number of volunteers mobilized, activities participated in and capacities developed


Task description

Within the delegated authority and under the supervision of Head of Sub-office the UN Volunteer will undertake the following tasks, in close collaboration with the ER/PI unit in Khartoum:


• Draft fact sheets, thematic notes, situation reports, briefing notes, background material, talking points, press releases and articles.

• Assist the implementation of a strategic outreach to key target groups that generates moral, political, and financial support for UNHCR’s operations from external partners (e.g., the interested public, governments, partners, corporations, VIPs, the media, academia and refugee groups), in line with UNHCR Sudan’s Comms Strategy and other relevant UNHCR guidelines.

• Assist in the dissemination of information to internal and external audiences, by keeping mailing lists up to date, and disseminating key documentation and information to support the country operation and corporate communication processes and priorities.

• Support the organization of events and visits to field operations and mainstream AGD standards as well as promotion as volunteerism for development wherever possible

• Support the implementation of physical UNHCR visibility.

• Organize input for digital content (including coordinating multi-media production) for UNHCR’s and volunteer partner websites and social media platforms

• Assist with networking and relationship building with individuals and local organizations dedicated to volunteer work for refugees and IDPs as well as with the engagement of influencers such as VIPs by providing relevant information on UNHCR operations, organizing briefings, bilateral meetings and responding to relevant queries.

• Consolidate information on UNHCR’s country operations and identify appropriate messages for campaigns and joint messaging with other agencies, including UNV.

• Propose and develop, in close coordination with the Head of Sub-office, innovative outreach formats, especially targeting local volunteer initiatives and other civil society actors in the new era of Sudan.

• Keep abreast with all developments in the assigned area and maintain working relationships with NGOs, UN agencies and government as appropriate.

• Liaise in terms of external engagement with the representation in Khartoum, through collaboration with ER/PI unit at country level, on behalf of Kosti office and disseminate/streamline in the field global and regional UNHCR information/campaigns, as appropriate.

• Support Head of Sub-Office, including communication with partners, planning meetings, setting agendas, preparing talking points and presentations, and taking minutes of meetings.

• Draft donor reports and briefing notes, and provide inputs to response plans and strategies, and other key external documents.

• Assist in gathering, consolidating and analyzing inter-agency data and information on indicators in all sectors to support gap identification and prioritization for the Inter-Agency State Coordination Mechanism.

• Assist in presenting accurate and attractive data and information management products.

• Liaise with technical sector colleagues (Protection, Education, WASH, Health and Nutrition, Livelihoods, Programme, Supply, and other units) on operational or strategic issues as required, and for reporting and presentations.

• Meet and brief visitors on UNHCR and inter-agency activities, where necessary together with appropriate specialist/ programme officers.

• Perform other related duties as required.


Furthermore, UN Volunteers are encouraged to integrate the UN Volunteers programme mandate within their assignment and promote voluntary action through engagement with communities in the course of their work. As such, UN Volunteers should dedicate a part of their working time to some of the following suggested activities:


• Strengthen their knowledge and understanding of the concept of volunteerism by reading relevant UNV and external publications and take active part in UNV activities (for instance in events that mark International Volunteer Day);

• Be acquainted with and build on traditional and/or local forms of volunteerism in the host country;

• Provide annual and end of assignment self- reports on UN Volunteer actions, results and opportunities.

• Contribute articles/write-ups on field experiences and submit them for UNV publications/websites, newsletters, press releases, etc.;

• Assist with the UNV Buddy Programme for newly-arrived UN Volunteers;

• Promote or advise local groups in the use of online volunteering, or encourage relevant local individuals and organizations to use the UNV Online Volunteering service whenever technically possible.

Requirements

Required experience

  • 3 years of experience in Professional work experience in media and communications and working experience in the UN or other international organization, especially on the field, is an asset.

  • Excellent oral and written skills, excellent drafting, formulation and reporting skills are a requirement.

  • Excellent interpersonal skill, culturally and socially sensitive; ability to collaboratively work a team of various background

  • Proficient in use of computer including various MS Office applications

  • Self-motivated, ability to work with minimum supervision and in coordination with other units and offices, ability to work with tight deadlines

  • Sound security awareness.

Living conditions and remarks

Kosti is classified as a non-family duty station with the hardship category “E”, mainly due to its remoteness and low level of basic facilities. The security level is categorised as level-2 with the situation calm and stable. All security briefings are provided in Khartoum by the Senior Field Safety Officer upon arrival. Please note that security clearance is required for all travel between Kosti and Khartoum. However, the political environment in Sudan is unpredictable, thus requires strong security awareness when in the field.


Travel between Khartoum and Kosti is facilitated by a shuttle service provided by the Office during the working days on regular basis. There is no commercial flight operating between Kosti and the capital, Khartoum. All travels are by road and takes not more than six hours. Security clearance is mandatory, via undss web. As Kosti is designated R&R Duty Station, IUNV is entitled to go for R&R every 8 weeks (56 days) stay in the duty station.


Accommodation is provided for international staff in the UNHCR guest house. Visitors, too, can be accommodated if room is available. Staff and visitors are expected to remain in the premises of the guest house after 2100hrs.


Sudan is a unique country and Kosti is a unique (humanitarian) operation. It provides for an interesting and enriching environment, but also requires a mature level of cultural awareness, as well as more stamina and commitment than elsewhere to make life comfortable and affordable. Therefore, flexibility and the ability and willingness to live and work in harsh and potentially hazardous conditions, involving physical hardship and little comfort, are essential.
