UNDP-Indonesia in collaboration with the MoH initiated an innovative solution for better Supply Chain Management (SCM) in Immunization Program as well as Medical Waste Management with Sistem Monitoring Imunisasi dan Logistik Secara Elektronik (SMILE) project. The system has been part of a national information system for immunization programs, including COVID-19 vaccines distribution. At the core of the project is a human resources development component supported by a defined supervision plan and a rigorous training regimen. The system provides an integrated solution to address widespread inequities in vaccine coverage by supporting state governments in overcoming constraints of infrastructure, monitoring, and management information systems, and human resources. It helps track stock of vaccines as well as storage temperature of vaccines through GSM-enabled temperature loggers installed to the cold chain equipment. With this opening, the hiring unit intends to recruit six positions of Project Clerk, as follows:

Under the overall guidance of the Project Assistant (National Coordinator), the Project Clerk (Helpdesk) provides project support services, ensuring high quality of work, ensures accurate, timely, and properly recorded/documented service delivery, answering questions regarding the technical issue for SMILE application & conduct user training. Duties and Responsibilities The assignment will be conducted under the direct supervision of Project Assistant (National Coordinator) and overall guidance from team to support day-to-day project activities. Support the project team to ensure effective project planning, budgeting and implementation focusing on achievement of the following results
Compiles summarizes, and presents basic information/data on specific project and related topics or issues.
Implement project standard operating procedures in line with the government and UNDP’s regulations.
Support to effective reporting on the progress of project implementation
Provide first level contact and convey technical issue for SMILE application to the user.
Properly escalate unresolved queries to the next level of support.
Track, route and redirect problems to correct resources.
Update data in SMILE application and produce activity reports.
Provide feedback and see problems through to resolution to the user.
Ensure proper recording, documentation and closure.
Conduct user training if required.
Provides administrative support to the Project Management Unit focusing on achievement of the following results
Support the focal point for Administrative and office coordination of project implementation activities to process and follow-up on administrative actions, e.g. recruitment and appointment of personnel, travel arrangements, training/study tours, authorization of payments, disbursement of funds, procurement of equipment and services, security compliance, etc.
Provision of general office assistance such as response to simple information requests and inquiries; reviews, logs and routes incoming correspondence; establishment of filling system and maintenance files/records; organization of meetings, workshops; routine administrative tasks, including maintaining attendance records, assessing telephone billing, etc.
Support strategic partnerships, communication and support to the implementation of resource mobilization
Support in updating database of the relevant public and development partners private sector, civil society and other stakeholders who are counterparts for the project;
In coordination with UNDP’s Communication unit and other relevant counterpart communications departments, support documentation of the project activities as a tool to communicate results, deepen stakeholder knowledge and buy-in to the project, and resource mobilization for the project.
Supports knowledge building and knowledge sharing focusing on achievement of the following results
Participation in the training for the operations/ projects staff.
Synthesis of lessons learned and best practices in project support management function.
Contributions to knowledge networks and communities of practice.
Effective contribution to learning and knowledge sharing in gender analysis and gender mainstreaming

Required Skills and Experience Education:
High school graduation would be minimum requirement. Bachelor’s degree in management, Information Technology (IT), Public Health or any social science from recognized institutions would be preferable but it is not a requirement.
Experience:
Minimum 2 years of relevant experience for a candidate from high school or no experience for candidate Bachelor's degree.
Experience in the usage of computers and office software packages (MS Word, Excel, etc).
Good interpersonal communication skills, writing ability and administrative skills.
Ability to work in multidisciplinary teams.
Experience supporting governmental institutions, external agencies would be preferable.
Demonstrated familiarity with UNDP development projects in Indonesia is an advantage.
Experience in delivering customer/user support for health information systems (mobile and web app).
Experience in working with Provincial/District Office would be preferable.
Experience in handling complain would be an advantage.
Experience on supply chain management especially in the logistic of vaccines would be preferable.
Language requirement :
Actively in written and spoken Bahasa Indonesia and English.
Travel:
Unforeseen travel may be required and will be subject to confirmation from the project.
