Program Overview

WRI Indonesia requires a self-motivated and highly organized individual to support its Operation Department as an Office Administration Officer

Job Summary

The Office Administration Officer will work under the direction of Office Manager to support the Jakarta Office Team. The post holder will work closely with the Operations team to do procurement tasks, office administration, office utilities and supplies arrangements for the Jakarta office. She/he will support and work collaboratively with Managers, Project Operations Specialist, Project Assistant and Jakarta office team with procurement, facilities, and administrative support to enable the Team to work effectively and efficiently. Office Administration Officer is prepared to work collaboratively and cooperatively in a team environment.

Job Responsibilities

Under the direction of the Office Manager, the Office Administration Officer duties may include the following:

Procurements

  • Prepare Purchase Order for all procurement of goods.

  • Carry out procurement process for procurement of goods value up IDR 300.000.000, in accordance with procurement policy.

  • Contract process with new vendors for equipment/goods and to maintain good communications with the vendors

  • Keep good filling and records of Purchase Request and Purchase Order including the supporting documents.

  • Support the Office Manager for other procurement administration when necessary.

Office Administration

  • Provide administrative support to Executive Team WRI Indonesia, including Travel Expenses Report in coordination with Travel Officer.

  • Handling petty cash for facilities including the reporting to Accounting Dept.

  • Assist the Office Manager to organize internal and external meeting arrangement.

  • Maintain good communication with all administrative staff at all WRI Indonesia offices.

  • (When working psically in the office), provide receptionist service such as; Greet visitors and direct them to designated staff, take incoming calls and forward them to specific extension, updated telephone extension and contact list, record incoming mails, invoices and faxes and distribute them as necessary, oversee the distribution of all incoming and outgoing letters/package incoordination with the Office Assistant.

Office Facilities

  • To record and update assets & inventory list based on procurement documents and receipts.

  • Manage office supply for stationary, access card and name card for each employee and ensure that the card receive timely.

  • To arrange for the office accommodation and facilities, such as furniture, telephones, meeting rooms in coordination with the Office Assistant.

  • Ensure maintenance of office building, appliances, assets, facilities, equipment and other office utilities in coordination with the Office Assistant.

  • To make sure that office environment is kept clean, tidy, organised and necessary office supplies are readily available in coordination with the Office Assistant.

  • Organize a filing system for important and confidential company documents.

  • Ensure the office is a pleasant environment to work in and all office equipment and facilities work properly.

  • Serve as admin for iOffice or other similar application for office facilities.

  • To maintain good communication with the Building Management.

Other duties may be assigned from time to time, and which are commensurate with the position by your Line Manager.

Job Qualifications

  • Diploma degree in administration or secretarial or equivalent.

  • Should have experience of work in procurement.

  • Strong administration skill.

  • Showing positive attitude and have good interpersonal skill.

  • Being punctual, discipline and honest

  • Skilled in interpersonal relations, on the telephone, writing and face to face

  • Good knowledge and skills in spoken and written English

  • Having good communication skills

  • Computer literate

  • Internet knowledge

  • Able to deal with all levels of staff up to senior management team Able to take an active role in problems solving Able to communicate with national and international staff

  • Able to complete the assignment thoroughly, based on priority and able to track details

  • Ability to work in a multicultural team

  • Able to work independently and as a team player

Must have authorization to work in Indonesia to be eligible for this position.

Final candidates might be required to take a writing test and to produce two writing samples when needed.
